Importing Products and Bulk Editing

Import

You have the option to upload your entire product list to Billingo based on a template file. Click on the Products menu and select the Import option.

Here, you can use the "Download Sample File" option to get the correct format for uploading products. After filling out and selecting the file, use the Import button.

Important: The order of the columns cannot be changed; doing so may cause errors during upload.

Column Definitions (from left to right):

  • Column A: ID – (Identification number) Optional.

  • Column B: Product – Required.

  • Column C: Comment – Optional.

  • Column D: Currency – Required.

  • Column E: VAT Key Identifier – Required (Use the values as they appear in Billingo, e.g., "5%").

  • Column F: Net Unit Price – Required.

  • Column G: Gross Unit Price – Required.

  • Column H: Unit of Measure – Required.

  • Column I: Revenue General Ledger Number – Optional.

  • Column J: VAT General Ledger Number – Optional.

  • Column K: Legal Ground for Tax Exemption – Required if your invoices use 0%).

  • Column L: SKU / Item Number – Optional.

  • Column M: Barcode – Optional.

  • Column N: Stock-managed Product – Optional. (Enter "1" or "I" to enable stock management).

  • Column O: Net Purchase Price – Optional.

  • Column P: Subject to Data Erasure Code – Optional.

+1 Tip: Providing a VAT General Ledger number is optional, but some accounting software may require it.

LIMIT: You can upload a maximum of 2,000 rows at a time. For more products, use separate files.


Bulk Edit

You can also bulk edit existing products using the "Bulk Edit" option.

Step 1: Exporting

First, export the products you want to modify to an XLSX file.

  • Search Type:

    • All Products: Exports your entire list.

    • Starts with: The beginning of the text must start with the searched text (e.g., "Pen" will export "Pencil").

    • Contains: The searched text must be in the text (e.g., "sue" will export “Tissue").

  • Click Export to download the file.

Step 2: Modifying and Importing

  1. Open the file and modify the data as needed.

  2. Once finished, use the "Select File" button to upload the modified table.

  3. Click the Import button.

After processing is complete, your product list will display the updated information.
