Creating an Invoice and Receipt

Under the Invoice List / Tax Invoice menu, you can issue new documents: invoices, advance invoices, proforma invoices, or receipts by clicking the New Document button.

First, select the document type in the opening window. You can create invoices, advance invoices, proforma invoices, and receipts. After selecting the document type click the Next button.

Billingo automatically applies the settings defined in your subscription plan and the Document Settings menu.


Invoices

1. Recipient Information 

  • Partner Details: Enter the partner's name, address, and TRN number.

  • Contacts: Add email addresses and phone numbers. Use the "+" button for multiple entries.

  • Additional Data: You can record internal comments (not visible on the invoice), Partner type , and specific bank details for the partner.

2. Invoice Data

  • Type: Verify or change the document type here.

  • Dates:

    • Issue Date: Automatically set to the current day; cannot be modified.

    • Fulfillment Date: Can be set manually (can be past, present, or future).

  • Payment:

    • Method: Choose from  Wire Transfer, Cash, Card, Stripe etc.

    • Deadline: Set by days or a specific date.

    • Online Payment: Enable Stripe to allow partners to pay instantly via card.

3. Formatting

  • Invoice Block: Choose which block to use.

  • Language & Currency: Select the document's language and the currency for billing.

4. What are you billing?

  • Product/Service: Enter the name. You cannot edit product details here; if changes are needed, go to the Products menu.

  • Items: You can add up to 200 different items per invoice.

  • Pricing: Choose to enter Net or Gross unit prices. The system calculates the totals based on the selected VAT rate.

  • VAT: Choose the correct VAT rate for your product (0% - Zero rated, 0% - Tax exempt, 5%)

5. Finalizing

  • Tags: Add tags for easier filtering in the list.

  • Sending: Choose "Send via Billingo" to track when the partner receives and opens the invoice, or "No sending" to just store it.

  • Comments: Here you can add pre-saved comments or add a new one.

6. Preview, Draft, Create document

  • Preview: On the button of the panel you can preview the document by clicking the eye icon.

  • Draft: You can save the document as draft before finalizing it, allowing you to edit the content.

  • Create document: To create the final document click the Create document button.

Creating a Receipt

To issue a receipt, select the Receipt type on the right panel.

Required Information:

  • Dates & Payment: Select the payment method (Cash, Card, etc.).

  • Format: Select the receipt block and currency.

  • Amount: Provide a description of the transaction, the total gross amount, and optionally the VAT rate.

Finalize by clicking Create Document or save as a draft.

Cancellation of an Invoice or Receipt

You can cancel any invoices or receipts in the Invoice List / Tax Invoice menu by clicking the three dots in the end of the row and clicking the cancellation button after that.
